Description

These are 10 hour shifts scheduled for 8am-630pm Monday-Thursday. This is considered a float position meaning you may be scheduled at additional locations from time to time.

OVERVIEW OF THE POSITION

The Administrative Assistant plays a crucial role in providing comprehensive support to the clinic by assisting the Practice Manager and ensuring smooth administrative operations. This position requires attention to detail, strong organizational skills, and the ability to multitask effectively in a fast-paced environment.

DUTIES

      Client Interactions

      Greet clients and ensure they have a positive experience during their visit to the clinic

      Answer phones, respond to texts, schedule appointments, and direct calls/messages to the appropriate staff members

      Administrative Tasks

      Process medical records and ensure accuracy and confidentiality

      Manage document uploading, voicemail system, and tasks in our EMR

      Verify insurance coverage and process insurance claims

      Fulfill records requests efficiently and maintain organized filing systems

      Ensure proper documentation of all updates for ease of communication amongst departments

      Additional duties as assigned

      Financial Administration

      Create pay sheets, collect payments from clients, and assist in managing credit/balances due

      Assist in insurance verification procedures to ensure smooth billing processes

      Clinic Support

      Contribute to the opening of the clinic, ensuring overall cleanliness and readiness for patients

      Collaborate with the clinic team to manage inventory and supplies effectively

      Assist clinical staff as needed, including escorting patients to restrooms or vehicles

Requirements

Qualifications:

      High school diploma or general education degree (GED) required

      Bachelor’s Degree or 2-3 years of clerical, secretarial, or office experience

      Proficient computer skills, including Microsoft Office or GSuite

      Deescalation skills preferred

Office based and clinical setting
