Premier Integrative & Cognitive Medical Institute is seeking a very smart, fast thinker as a Clinic Conciere/ Experience Coordinator to serve as a key patient-facing presence in our neuroscience-driven, integrative mental health clinic.
This role is ideal for someone who is calm, professional, emotionally intelligent, and interested in working within ketamine-assisted therapy, psychedelic psychiatry, and advanced neuroplasticity care. While this is not a clinical or facilitation role, you will work closely with patients who are actively engaged in therapeutic processes.
Responsibilities
- Greet and check in patients in a calm, supportive, and professional manner
- Schedule consultations, treatment sessions, and follow-up visits
- Guide patients through intake paperwork, consent forms, and onboarding steps
- Answer phones, emails, and patient portal messages clearly and compassionately
- Support patients before and after sessions while maintaining appropriate role boundaries
- Maintain accurate documentation and records in the EMR system
- Assist with basic administrative tasks, clinic organization, and daily operations
- Help maintain a clean, quiet, and supportive clinic environment
- Adapt to evolving workflows in a startup clinical setting
Qualifications
Required
- Strong communication and interpersonal skills
- College Degree
- Professional demeanor and emotional maturity
- Experience in a medical office, mental health clinic, or integrative care setting
- Ability to multitask while remaining calm and organized
- Comfort working in a therapeutic healthcare environment
- Willingness to learn new systems and adapt to change
- Attention to detail and respect for confidentiality (HIPAA awareness)
Preferred
- Experience with Healthie EMR (highly desired)
- Familiarity with scheduling platforms and patient portals
- Interest in psychedelic medicine, neuroscience, or integrative psychiatry
- Background in healthcare administration, psychology, or patient services
Important Notes
- This role does not involve administering medications or facilitating psychedelic sessions
- You may interact with patients before or after ketamine-assisted care, requiring emotional steadiness and professionalism
- Training on clinic systems and patient communication standards will be provided
