Community Outreach & Physician Relations Coordinator

The Community Outreach & Physician Relations Coordinator is responsible for building and maintaining strong referral relationships with local physicians, psychiatrists, therapists, wellness practices, and gyms to drive appropriate referrals for insurance-based TMS and Spravato services. This role also leads community-facing activities and events to raise awareness of mental health treatment options and increase access to care.

This is a part-time independent contractor position that will require the occasional weekend and evening responsibilities. Expected hours of 10 per week to start.

Key Responsibilities

Medical Referral Outreach

  • Develop and execute an outreach plan targeting primary care, psychiatry, psychology, therapy, pain management, wellness clinics, and fitness centers within the region.
  • Conduct regular in-person and virtual meetings with providers and office staff to educate them about TMS, Spravato, indications, referral criteria, and insurance-based care pathways.
  • Serve as the primary liaison for referring offices, ensuring timely follow-up, smooth handoffs, and clear communication about patient status (within HIPAA and clinic policies).
  • Track all outreach activity, contacts, and referral outcomes in a CRM or designated tracking system; provide regular reports on territory activity and growth.
  • Identify new referral opportunities and partnerships (e.g., large medical groups, FQHCs, behavioral health organizations, EAPs, gyms with wellness programs).

Community Events and Brand Presence

  • Plan, coordinate, and represent the clinic at local events such as health fairs, mental health awareness events, employer wellness days, community conferences, and relevant gym/wellness activations.
  • Develop an annual community event calendar in collaboration with leadership and marketing, aligned with clinic growth goals and seasonal mental health campaigns.
  • Prepare and deliver presentations or brief educational talks for community groups, support groups, and professional audiences about depression, treatment resistance, TMS, Spravato, and integrative mental health options.
  • Coordinate event logistics (materials, booth setup, giveaways, sign-up sheets, lead capture) and ensure timely follow-up with contacts.

Insurance-Based Services Education

  • Clearly explain the clinic’s insurance-based model for TMS and Spravato, including the basics of eligibility, prior authorization, and patient financial expectations (non-clinical, non-billing advisory level).
  • Collaborate with internal teams (intake, authorizations, billing) to understand payer requirements and translate them into easy-to-understand educational materials for referring offices and patients.
  • Provide referring offices with simple referral workflows, referral forms, and guidance on documentation needed to support TMS and Spravato coverage.
  • Identify recurring questions or barriers related to insurance and communicate those insights back to leadership for process improvement.

Internal Collaboration & Reporting

  • Partner with clinical, intake, marketing, and administrative teams to align outreach messaging with clinical protocols and branding.
  • Participate in weekly or monthly growth meetings to review referral patterns, event ROI, and territory performance.
  • Contribute ideas for content (FAQs, one-pagers, presentations, social posts) that support provider and community education on TMS and Spravato.

Qualifications

  • Bachelor’s degree in marketing, communications, psychology, social work, business, or related field preferred; equivalent experience considered.
  • 2+ years of experience in community outreach, physician relations, medical sales, behavioral health business development, or related role.
  • Familiarity with mental health services; knowledge of TMS, Spravato, or interventional psychiatry strongly preferred (training provided).
  • Demonstrated ability to build professional relationships, present information clearly, and communicate with both clinical and non-clinical audiences.
  • Comfortable spending the majority of time in the field (driving to offices and events) within the local region.
  • Strong organizational skills, proficiency with CRM or contact-tracking tools, and ability to manage a territory plan.
  • Ability to work some evenings and weekends for community events as needed.
