Position Summary

The Internal Family Systems Institute (IFSI) is seeking an experienced Executive Office, Special Projects Manager to support the President/Founder and Vice President in organizing and advancing projects related to their thought leadership.

This role serves as a project manager, and integrator—ensuring that the President and Vice President’s special projects are executed with excellence and aligned with their overarching goals and the Institute’s mission.

The Executive Office, Special Projects Manager will report to the Executive Office, Operations and Strategy Lead and will work within the Executive Office team and the IFS Institute to lead, support and/or manage a range of projects. This role may require up to 25% travel annually, both domestically and internationally. A senior role supporting executive leadership through project management, operational alignment, and strategic execution.

Key Responsibilities

Strategic Alignment & Executive Support

  • Understand organizational priorities: Deeply understand the strategic objectives and mission of the executive office and the broader organization.
  • Translate vision into action: Break down high-level goals into actionable projects with measurable and sustainable outcomes.
  • Communicate with clarity: Craft clear, concise executive summaries, presentations, and updates that enable informed decision-making and alignment.
  • Build credibility: Demonstrate reliability, discretion, and sound judgment in handling sensitive information and competing priorities.

External Partnership Management

  • Represent the organization: Act as a professional point of contact for external partners and internal stakeholders, ensuring consistent messaging, tracking of required work and maintaining strong relationships.
  • Monitor partnership outcomes: Track and report on the impact and value of collaborations, surfacing insights for leadership.

Operational Excellence

  • Implement systems and processes: Establish project templates, workflow tools (e.g., Asana) and standard operating procedures for project intake, tracking and delivery.
  • Maintain quality control: Ensure deliverables meet executive-level standards of precision, clarity, and impact.
  • Anticipate and mitigate risks: Identify potential challenges early and develop contingency plans.

Influence and Continuous Improvement

  • Inspire and guide teams: Even without direct authority, motivate cross-functional contributors through clarity, empathy, and accountability.
  • Champion continuous improvement: Solicit feedback from partners and teams to refine how projects are executed and what work is required to ensure successful project completion.

Qualifications

  • 5+ years of experience in a complex environment, managing across multiple priorities and internal and external stakeholders
  • Demonstrated success in managing complex, multi-stakeholder initiatives with both strategic and operational dimensions including budgeting
  • Exceptional organizational and communication skills, with the ability to anticipate needs and balance multiple high-priority projects
  • Ability to operate with discretion, diplomacy, and sound judgment
  • Deep interest in, or familiarity with, Internal Family Systems (IFS) or the broader mental health/psychology space strongly preferred.
