Psychedelic Science Institute is a next-generation clinical trial and treatment network founded by leaders in neuroscience and mental health with 30+ years of collective experience in psychedelic and neuroscience research.

Our TRIP Clinics will:

1. Conduct psychedelic clinical trials for mental health and neuroscience conditions

2. Offer ketamine-assisted psychotherapy

3. Train future psychedelic therapists and researchers

4. Develop scalable and affordable care models

Front Office Coordinator

We’re looking for a Front Office Coordinator to support outstanding patient care and ensure smooth daily operations. This role is key to creating a welcoming environment, guiding patients through their visits, and helping our team deliver efficient, compassionate care.

Key Responsibilities:

  • Greet and support patients with warmth and professionalism
  • Handle inquiries via phone, email, and in person
  • Manage appointment scheduling, calendars, and patient flow
  • Maintain accurate records and ensure timely documentation
  • Collect payments, manage billing, and track clinic expenses
  • Keep clinic spaces clean, organized, and stocked
  • Oversee supplies, mail, scanning, and general office tasks
  • Coordinate with vendors for facility maintenance
  • Support clinical trials using approved communication scripts
  • Ensure daily clinic readiness and regulatory compliance
  • Share feedback to improve operations

Requirements:

  • 3–5 years in healthcare front desk, scheduling, and billing
  • Familiar with medical billing (claims, referrals, authorizations)
  • Excellent communication, multitasking, and problem-solving skills
  • Detail-oriented, proactive, and patient-centered
  • Knowledge of HIPAA, GCP, and privacy regulations
  • Reliable, collaborative, and professional

Preferred:

  • Bachelor’s degree
  • Experience with Tebra, EHRs, and clinical trial systems
  • Medical billing/coding knowledge and insurance experience
  • Understanding of healthcare operations and research protocols
  • Tech-savvy and adaptable in fast-paced settings
