Beckley Clinical is seeking a dedicated and experienced Practice Manager to provide expertise and champion exceptional patient care across our clinic operations. This pivotal role is responsible for the day-to-day management and leadership of the clinic, ensuring efficient operations, a positive work environment, and the delivery of the highest quality patient experience. The Practice Manager is responsible for the comprehensive management of their assigned clinic, acting as an Operations Manager to ensure smooth and efficient workflow. This includes directing and leading the team, identifying and resolving operational challenges, implementing corrective actions, and monitoring follow-up. The Practice Manager works collaboratively with the clinical team and management and other stakeholders to guarantee adequate and competent staffing for optimal patient care. This role also involves recommending and assisting in the establishment or revision of policies and procedures to meet all regulatory requirements.
Work Schedule: Monday-Friday 9:00 am - 6:00 pm (may vary based on business needs).

Major Responsibilities
- Develop and lead the execution of clinic goals and objectives in alignment with overall clinic performance and operations.
- Monitor patient flow, keeping patients informed, addressing wait times, and coordinating efforts to ensure the highest quality care and services.
- Opening and closing the clinic and maintaining a clean and organized clinic.
- Welcome all patients and visitors with a friendly and professional demeanor.
- Assist in patient care coordination, including answering questions and guiding them through the registration process.
- Answer phone and directing phone calls appropriately
- Perform callbacks to past patients for follow-up and ensure a positive patient experience.
- May collect insurance information, verify patient demographics, process payments, schedule appointments, and collect balances.
- Assist with clerical duties such as faxing and scanning documentation.
- Maintain a neat and clean work environment and professional appearance
- Collaborate with the clinical team to ensure every patient has a positive experience during their visit.
- Serve as a liaison between Patient Services and billing, Center Operations, and Clinical Operations.
- Provide oversight and support for marketing, company events, and sponsorship opportunities.
- Assist in special projects as assigned.
- Oversee materials management, including ordering medications and other necessary clinic supplies.
- Work collaboratively to guarantee the smooth operation of all practice functions.
- Keep abreast of all regulations and standards to ensure ongoing compliance.
- Attend provider and staff meetings
In Collaboration with Human Resources
- Interview center staff candidates, provide onboarding and training to new center staff.
- Manage staff schedules, including coverage for PTO, sick leave, etc.
- Conduct performance reviews for center-level staff, establishing written performance goals and measurable objectives.
- Manage all team performance issues, including patient and visitor concerns, providing feedback to employees, recognizing good performance, and identifying potential candidates for promotional opportunities.
- Maintain a positive and supportive environment that fosters high staff morale and job satisfaction.
- Develop, implement, and monitor adherence to written protocols/policies and procedures pertaining to clinic operations in compliance with regulatory agencies.
- Coordinate continuing education and in-service training activities for health center staff, ensuring completion of clinical competencies and required modules.
Qualifications
- RN or LPN clinical license required.
- BLS Certification is requiredAssociate degree or higher in a health-related field (Bachelor's degree in healthcare administration or related field preferred).
- 1+ year of experience in the supervision of staff is helpful (5+ years of managerial experience in a healthcare setting preferred).
- An understanding of mental healthcareAn understanding of insurance verification
- Ability to multitask and work effectively under pressure in a fast-paced environment.
- Knowledge of basic computer software and the ability to learn electronic medical records required. Familiarity with electronic medical records and practice management software is a plus.
- Excellent verbal and written communication skills – must be able to communicate effectively with patients and medical staff.
- Strong leadership and interpersonal skills.
- Strong financial acumen and experience managing budgets and financial records.
- In-depth knowledge of healthcare regulations.
- Ability to follow OSHA and HIPAA guidelines.
- Proven track record of managing a successful medical practice, improving efficiency and productivity, and providing excellent customer service.
- Must demonstrate leadership skills and creativity in problem-solving.
- Current CPR required.
Working Conditions
- This role is center-based and requires working in a clinical setting. The noise level is moderate. It will require the ability to stand and sit for extended periods (with some bending and stooping), use manual dexterity for clinical requirements, and lift up to 15-50 lbs. Hours may vary based on location, patient volume, and business needs.
$50,000 - $65,000 a year
