We are seeking a warm, organized, and clinically competent Medical Assistant to support our psychiatric and treatment teams. This role blends traditional MA duties (intake, vitals, documentation) with support for advanced psychiatric treatments such as ketamine-assisted therapy and Spravato (esketamine) treatments, including advanced clinical competencies such as phlebotomy.
You’ll play a vital role in ensuring patients feel safe, supported, and cared for during their treatment experience.
Key Responsibilities
Patient Care & Clinical Support
- Greet, room, and orient patients for appointments
- Obtain and document vital signs (BP, HR, SpO₂, RR) accurately
- Review intake forms and confirm medication/allergy history
- Support clinicians during Spravato and ketamine treatments (non-administration role)
- Monitor patients throughout treatment sessions for comfort, stability, and safety
- Assist with pre-treatment readiness checks and post-treatment discharge screening
- Prepare treatment rooms and maintain infection-control standards
- Support patient flow and communicate with the care team in real time
Advanced Clinical Skills (as trained and permitted by clinic protocols)
- Start and manage peripheral IVs for procedures or monitoring
- Perform phlebotomy for labs, screening, and research protocols
- Support IV bolus setup and monitoring (e.g., saline bolus for stabilization)
- Assist clinicians with medical equipment setup, troubleshooting, and prep
- Perform medical supply checks and maintain emergency equipment readiness
Note: All procedures are performed under physician/NP/PA supervision in accordance with NY scope-of-practice requirements.
Documentation & Charting
- Enter vitals, histories, and observations in the EHR with accuracy
- Assist clinicians with documentation, forms, and follow-up care instructions
- Maintain treatment logs required for REMS, compliance, and quality assurance
- Support prior authorization, refill coordination, and administrative follow-ups when needed
Safety, Compliance & Clinical Protocols
- Follow all procedures related to controlled substances (no independent administration)
- Adhere to Spravato REMS requirements and internal clinical workflows
- Recognize and escalate symptoms, adverse reactions, or emergencies appropriately
- Maintain a calm, supportive presence with patients undergoing altered states
- Ensure strict HIPAA compliance and patient confidentiality
Operational Support
- Assist with patient scheduling, reminders, and front-desk coordination as needed
- Track inventory, restock rooms, and assist with supply ordering
- Support opening and closing tasks for treatment rooms
- Participate in team meetings, QA reviews, and ongoing process improvements
Qualifications
Required
- Completion of Medical Assistant training program OR equivalent clinical experience
- Competency with obtaining accurate vital signs
- Demonstrated competency with:
- Peripheral IV insertion
- Phlebotomy (venipuncture)
- IM injections
- IV bolus setup or assistance
- Strong communication and patient-care skills
- Eagerness to be part of a holistic care team which values a nurturing environment for patients
- Comfort working in a mental health setting and with patients experiencing altered states
- Comfort supporting trauma-informed, psychotherapeutic interactions with depressed or anxious patients
- Reliability, punctuality, and excellent attention to detail
- Ability to follow structured clinical protocols
- Experience with electronic medical records (EHR)
Preferred
- CMA/RMA certification
- Experience in psychiatry, infusion centers, or ketamine/Spravato settings
- CPR/BLS certification
- Familiarity with CharmEHR (or similar)
- Experience supporting prior authorizations or insurance workflows
- Interest in trauma-informed care, mental health, or psychedelic-assisted therapy
Schedule
- Flexible: mix of morning, afternoon, and evening treatment blocks
- Option for part-time or full-time depending on clinic needs
- Occasional weekend availability is a plus

Pay: $24.00 - $30.00 per hour
Expected hours: 4 – 20 per week
