Better Health Whole Wellness Center is a new physician-led medically focused ketamine therapy center in Center City Philadelphia. We are seeking an experienced healthcare operations and marketing professional to lead the development and growth of this practice. This role works closely with ownership and supported by other healthcare professionals leading an established medical practice.
Position Summary
The Operations & Growth Manager will oversee day-to-day operations, regulatory coordination, marketing initiatives, and performance tracking for the busiess; continue to implement systems, support compliance processes, coordinate marketing efforts, and assist with referral development within the Philadelphia medical community. This is a hands-on leadership role focused on execution, organization, and steady growth.
Core Responsibilities
Clinical Operations & Compliance Support
- Implement and maintain clinical workflows
- Coordinate DEA-regulated medication storage, documentation, and inventory tracking
- Support REMS compliance processes and documentation standards
- Coordinate provider scheduling and room utilization
- Assist with protocol implementation and quality tracking
- Maintain safety standards and emergency preparedness procedures
(Note: final clinical oversight remains with physician leadership.)
Marketing & Referral Development
- Support and execute marketing strategy
- Oversee website updates and digital presence
- Coordinate Google Ads and SEO vendors
- Track marketing performance metrics and patient acquisition data
- Develop and maintain referral relationships with psychiatrists, psychologists, and primary care providers
- Coordinate outreach initiatives and educational events
- Monitor local market activity and competitive positioning
Performance & Administrative Oversight
- Track service line performance metrics and infusion volume
- Assist with budgeting and vendor coordination
- Monitor operational expenses and marketing spend
- Develop basic reporting dashboards for ownership review
Minimum Qualifications
- Bachelor’s degree required from accredited 4 year university or college
- 3–5 years of management experience in a healthcare environment
- Experience supporting operations in outpatient or specialty clinics preferred
- Experience coordinating digital marketing initiatives required
- Familiarity with healthcare compliance environments
- Experience with EMR systems (eClinicalWorks preferred)
- Strong organizational and communication skills

Compensation commensurate with experience.
Pay: From $60,000.00 per year
