We are seeking a highly organized and motivated Patient Experience Manager/Office Manager to join our team. The ideal candidate will play a crucial role in ensuring the smooth day-to-day operations of our office while demonstrating a high level of emotional intelligence and professionalism. As the Patient Experience Manager, you will be responsible for managing administrative tasks and maintaining a positive and welcoming environment for both patients and staff.
Responsibilities:
Administrative Management:
● Ensure a safe and supportive experience for all patients.
● Maintaining Staff and Practice Schedules
● Staff Coordination
● Coordinate and manage daily administrative activities, including filing, data entry, and document organization.
● Ensure flow of patients to keep appointments running on time.
● Oversee the ordering and maintenance of office supplies.
● Handle incoming calls, emails, and inquiries with professionalism and efficiency.
Patient Scheduling:
● Manage daily intake of patient appointments.
● Coordinate with medical staff to ensure proper scheduling alignment.
Billing and Financial Management:
● Ensure accurate and timely processing of payments.
● Address patient billing inquiries and provide assistance as needed.
Patient Relations:
● Create a welcoming and supportive environment for patients.
● Assist in new patient onboarding and provide information about procedures.
● Handle patient concerns and inquiries with empathy and professionalism.
Team Collaboration:
● Work closely with medical staff, clinicians, and support staff to facilitate effective communication and collaboration.
● Foster a positive and collaborative work environment.
Qualifications:
● Previous experience in office management, preferably in a healthcare setting.
● Ability to adapt to a fast-moving environment and make sound decisions quickly.
● Strong organizational and multitasking skills.
● Excellent communication and interpersonal skills.
● Proficiency in office software and scheduling systems.
● Flexibility for schedule changes Monday-Friday.
Nice to have but not required:
● Knowledge of medical billing and insurance processes is a plus.
● Interest and experience in psychedelics as a healing modality is a plus.
