The Role

We are looking for a Program Coordinator to support the day-to-day execution of the Elephant Gate Accelerator, Pink Elephant’s founder support platform for early-stage psychedelic and frontier mental health ventures.

This person will play a critical role in helping each cohort run smoothly by supporting founder and mentor communications, coordinating logistics, maintaining internal systems, and assisting with events and programming. They will serve as a warm, responsive second point of contact for simple operational questions and help ensure that founders, mentors, and partners have a seamless and supportive experience throughout the program.

This role is ideal for someone who is highly organized, emotionally attuned, and deeply aligned with the future of psychedelics for healing. We care deeply about mission fit. While tools and workflows can be taught, we are looking for someone who brings genuine passion for the space, a strong harm reduction lens, and a desire to help build the infrastructure for safe, ethical, and scalable psychedelic care.

Key Responsibilities

Founder & Mentor Communication Support

  • Serve as a responsive second point of contact for founders and mentors across Slack and email for day-to-day operational questions.
  • Help triage inbound communication, answer simple questions, and escalate strategic, sensitive, or complex matters to the Program Manager.
  • Support timely follow-up on scheduling, deliverables, meeting logistics, and ongoing cohort needs.
  • Help maintain a warm, professional, and high-touch experience for founders, mentors, and guest speakers.

Program Coordination & Logistics

  • Coordinate scheduling for mentor meetings, workshops, guest speakers, and other cohort-related programming.
  • Support weekly session logistics, including calendar management, meeting links, attendance tracking, and basic operational follow-through.
  • Send reminders and communications as delegated by the Program Manager.
  • Assist in monitoring active cohort workflows, timelines, and milestone tracking.
  • Support light coordination related to application monitoring and interview scheduling during active application periods.

Documentation, Systems & Session Support

  • Take meeting minutes and capture action items during key sessions and internal meetings.
  • Draft recap emails and post-session follow-up communications.
  • Help maintain program documentation, templates, trackers, and resource organization across internal systems.
  • Support clean and consistent use of tools such as Slack, Airtable, ClickUp, Google Workspace, and related workflow platforms.
  • Assist with light operational support for internal programming such as weekly Fireside Chats, including speaker coordination support, meeting setup, and live session support as needed.

Events & Travel Coordination

  • Support planning and execution of in-person events, retreats, workshops, and Demo Day.
  • Coordinate travel logistics for founders, mentors, speakers, or team members as needed, including scheduling, itineraries, and communication.
  • Help manage event details such as venue logistics, run-of-show support, materials, and participant coordination.
  • Provide general operational support before, during, and after key program events.

Must Have

  • Exceptional written communication and professional responsiveness.
  • Strong organizational skills and excellent attention to detail.
  • Comfort operating in a fast-moving, high-ambiguity startup environment.
  • Emotional attunement, maturity, and sound judgment in founder- and mentor-facing interactions.
  • A deep passion for psychedelics as a healing modality, with a strong alignment to ethical practice, safety, and harm reduction.
  • A genuine desire to contribute to the future of psychedelic and frontier mental health innovation.
  • Ability to follow through reliably, manage multiple moving parts, and support a high-touch program experience.

Nice to Have

  • Experience in program coordination, startup operations, community support, customer success, or event logistics.
  • Experience working in a remote-first environment.
  • Familiarity with tools such as Airtable, Slack, ClickUp, Attio, or similar operational platforms.
  • Exposure to early-stage founders, accelerators, or cohort-based programs.
  • Some familiarity with psychedelic terminology, research, policy, or the broader ecosystem.
  • Experience supporting travel, retreats, workshops, or founder-facing events.
