Job Summary:
The Care Coordinator serves as the first point of contact for patients and plays a key role in guiding them through their treatment journey. This position requires excellent communication skills, attention to detail, and a strong ability to manage multiple tasks. The ideal candidate is compassionate, organized, and experienced in managing patient flow in a healthcare setting. Must work on central time between the hours of 4 pm and 7 pm Tuesday, Thursday, and Friday and 9 am to 3 pm on Saturday.
Key Responsibilities:
- Patient Communication & Scheduling
- Serve as the primary liaison for new and existing patients, guiding them through intake, treatment planning, and follow-ups.
- Schedule appointments, evaluations, and treatments in alignment with provider availability.
- Educate patients on treatment options, expectations, and financial responsibilities.
- Care Coordination
- Track patient progress and coordinate with providers to ensure timely follow-up and continuity of care.
- Monitor active treatment plans and flag any delays or concerns to clinical staff.
- Facilitate communication between patients, providers, and administrative teams.
- Intake & Documentation
- Ensure all new patient intake forms, consents, and documentation are completed prior to appointments.
- Accurately enter and maintain patient information in the EMR (Electronic Medical Record) system.
- Prepare and organize patient charts for upcoming appointments.
- Insurance & Authorization Support
- Assist in verifying insurance benefits and coordinating prior authorizations when necessary.
- Communicate with patients about out-of-pocket costs and payment options.
- Team Collaboration
- Collaborate with clinicians, office staff, and leadership to ensure seamless day-to-day operations.
- Participate in team meetings to review patient care updates and process improvements.
Qualifications:
- Experience in healthcare administration, care coordination, or a patient-facing medical role (mental health or ketamine therapy preferred)
- Strong interpersonal and organizational skills
- Ability to multitask in a fast-paced environment
- Proficient in EMR systems and Microsoft Office/Google Suite
- Understanding of HIPAA and patient confidentiality standards
- High school diploma or equivalent required; college degree in healthcare, psychology, or related field preferred

Job Type: Part-time
Pay: $19.00 - $20.00 per hour
Expected hours: 15 – 25 per week
